Configuration Set Assignment
The Configuration Set Assignment feature allows you to link a Configuration Set to a customer or a sales document, so that stored default values are automatically pre-filled when the configurator is opened from a sales order line. This is especially useful when a customer regularly orders the same type of product and you want to avoid re-entering standard values each time.
Functionality and Benefits of Configuration Sets
A Configuration Set is a pre-fill profile that can store default property values, additional material, and a production text. When the set is assigned to a sales order and the configurator is opened, those saved values are automatically applied as the starting point. The user can still adjust all values individually before finishing the configuration.
How It Works
The feature operates on two levels:
- Customer level – You define which Configuration Set applies to a specific customer and optionally save that customer's typical property values, additional material, and production text in the assignment.
- Document level – Before starting a configuration from a sales order, you create an assignment for that specific order. The system automatically inherits the saved values from the customer-level assignment.
Important
The customer-level assignment alone does not cause values to be pre-filled in the configurator. A sales order assignment must also be created for the specific document. Only then will the configurator load the stored values when opened from a sales line.
Step 1 – Prepare the Configuration Set
Before creating assignments, save the default values directly on the Configuration Set so they are available as a baseline for all assignments.
- Choose the
icon, enter Configuration Set List, and then choose the related link. - Open the Configuration Set you want to work with.
The following fields control the behavior of the Configuration Set:
| Field | Description |
|---|---|
| Code | Unique identifier of the Configuration Set. |
| Description | A short description for display purposes. |
| Show Properties | Controls whether the Properties tab is visible in the pre-fill configurator and in the configurator when this set is applied. |
| Show Additional Material | Controls whether the Additional Material tab is visible when this set is applied. |
| Show Production Text | Controls whether the Production Text tab is visible when this set is applied. |
| Production Text Application Type | Defines how the set's production text is combined with the production text from the BOM Calculation Template. Replace substitutes the template text entirely; Before places the set's text in front of the template text; After appends it at the end. |
| Status | Open means the Configuration Set can still be edited. Certified locks all fields and prevents further changes. Set a Configuration Set to Certified once its setup is finalized and should not be modified accidentally. |
- Choose the Start Configuration action.
- The pre-fill configurator opens. Depending on the set's configuration, you can enter default property values, define additional material, and compose a production text.
- Choose Finish to save.
The saved values serve as the global baseline for all assignments using this set.
Step 2 – Assign the Configuration Set to a Customer
- Choose the
icon, enter Customers, and then choose the related link. - Open the Customer Card for the relevant customer.
- In the action bar, choose Related → Customer → Configuration Set Assignment.
- The Configuration Set Assignment List opens, automatically filtered to show only assignments for this customer.
- Choose New to create a new line. The Applies-to Type field is set to Customer and the Applies-to No. field is pre-filled with the customer number.
- In the Configuration Set Code field, enter or select the desired set.
- Optionally, choose the Start Configuration action on this line. The pre-fill configurator opens with the set's saved default values. Adjust the values to reflect this specific customer's typical specifications and choose Finish to save. These customer-specific values are now stored on this assignment.
- If this should be the primary assignment for this customer, enable the Default checkbox.
Tip
If you skip step 7 and do not run Start Configuration on the customer assignment, the system will fall back to the values saved directly on the Configuration Set (Step 1) when a sales order assignment is created later.
Step 3 – Create the Assignment on the Sales Order
This step is mandatory before the pre-fill functionality is available from a sales order line.
- Open the Sales Order.
- In the action bar, choose Actions → Configurator → Configuration Set Assignment.
- The Configuration Set Assignment List opens, automatically filtered to Sales Order and pre-filled with the current order number.
- In the Configuration Set Code field, enter the same set used in Step 2.
The system automatically determines which saved values to use and stores the reference internally.
Tip
If you want to store values that differ from the customer-level assignment specifically for this order, choose the Start Configuration action on this line after creating it. The configurator opens with the inherited values already filled in. After adjusting and finishing, the result is saved as an order-specific override.
Step 4 – Configure from a Sales Order Line
Once a sales order assignment exists, the configurator automatically applies the stored values.
- In the Sales Order, open the configurator from a line containing a configurator item using the Configure action.
- The configurator opens with the values from the matching Configuration Set Assignment pre-filled.
- A notification bar confirms: "The Configuration Set [code] was applied."
- Enter the required dimensions, adjust property values as needed, and choose Finish.
If no sales order assignment exists for the current order, no pre-fill is applied and the configurator opens with the standard values defined in the BOM Calculation Template.
Working with Multiple Assignments per Document
You can create more than one assignment for a single sales order or customer, each pointing to a different Configuration Set. When the configurator is opened from a sales order line:
- If exactly one assignment exists for the order, it is applied automatically.
- If multiple assignments exist, the system displays a selection dialog listing the available Configuration Set Codes. The assignment marked as Default is pre-selected in the dialog.
Note
Only one assignment can be marked as Default per document. Attempting to set a second assignment as default raises an error.
