Sales Span Management

The span management feature lets you see the current span in percent of a specific sales line in all sales documents. The current span is defined by the ratio of the price to cost of a line. Furthermore, the span management provides unit price suggestions for sales agents to keep a defined minimum span. To prevent selling products below a minimum span, you can enable a check to make it mandatory that a sales order has to be approved by an authorized user before it can be released.

To setup minimum spans

  1. Choose the Search icon, enter Wood Setup, and then choose the related link.
  2. On the Wood Setup page, on the General FastTab, select the Span Testing check box to enable minimum span checks for the current company.
  3. Choose the Search icon, enter Items, and then choose the related link.
  4. Select an item for which you want to setup a minimum span.
  5. Choose the Min. Spans action, to open the Sales Minimum Span page.

You can also access the Sales Minimum Span page from item categories, customers and customer price groups.

  1. Define a new minimum span for the item by setting the Sales Type field to the All Customers option.
  2. Set the Span in % field to the desired minimum span, e.g. 50, to have a minimum span of 50%.

On the Sales Minimum Span page, you can setup several combinations of checks with the Sales Type and Item Type fields. The combination of Sales Type: All Customers and Item Type: All Items, is the most generic combination. The combination Sales Type: Customer and Item Type: Item is the most specific combination. The calculation of the minimum span in documents searches from the most specific to the most generic combination.

To receive a minimum span check

After you completed the setup of minimum spans, you can create a new sales order for the item you set a minimum span up for.

  1. Choose the Search, enter Sales Orders, and then choose the related link.
  2. Select the sales order for which mini,um span checks should be performed and choose the Edit action.
  3. On the Sales Order page, on the Lines FastTab, select a line and enter a quantity.

In the Curr. Span % field you can now see the calculated current span in percent.

  1. Adjust the Unit Price field to a value, that the value in the Curr. Span % gets lower than your defined minimum span for this. The Span Test page opens.

The Span Test page provides several information about the calculation of the span. It also provides a selection of options about how to continue:

  • Take over Unit Price: Keep the current price and span.
  • Take over Min. Unit Price: Take over the suggested minimum unit price which reach the minimum span %.
  • Take over Unit Price and set Span free: Keep the current price and release the span. No further span checks are performed for this line.
Important

The Take over Unit Price and set Span free option, can only be selected by a user who is authorized to release spans.

To release a sales order with a span below the minimum span

If a sales order has a sales order line with a Curr. Span % below the setup Minimal Span % a span release is necessary.

  1. Choose the Search, enter User Setup, and then choose the related link.
  2. Select the user for whom you want grant permission to approve a span check.
  3. Select the Set Span free check box to grant the permission.
  4. Open a sales order which needs a span release.
  5. Choose the Release Span action to release the span check.
Note

With an activated span check, releasing a sales order is not possible, if the current span is lower than minimum span.
