doc.box Setup

To work with the doc.box, several setups are necessary.

Choose the Search icon, enter doc.box Setup, and then choose the related link.

The following information shows how to use and setup the existing fields.

General FastTab

Field Description
Enable DMS Generally activate the doc.box. Without this option set you can't use the doc.box.
Enable Doc. Archiving Activate the archiving feature for documents.
Archiveadmin Role Choose the drop-down arrow to select a permission role which is at least needed to administrate the doc.box.
Autom. Classification Field to automatically associate imported documents with a barcode.
Note

To prevent any errors, only activate the Enable DMS and Enable Doc. Archiving fields if all other setups are done.

Archiving FastTab

Field Description
Archive Typ Option which archive typ is set. This dictates where the data is stored. You can choose between None (BC-Database), acadon Archiv (External SQL Database) or Blob Storage (Seperate Blob Storage).
Max. Filesize Field, define the maximum size of a file. No value in the field means no restrictions to file sizes.
Archive Copy as new Version If you set that option, every copy of a document get stored as a separate version.

Barcode FastTab

Field Description
Barcode No. Choose the drop-down arrow to select a number series.
Barcode Length Enter the character length that the barcode should have.
Barcode Length (max.) Specify the maximum character length of the barcode.
Barcode already assigned Choose the drop-down arrow and select how the system should operate if a barcode has already been used. Options are: Skip, create new version, ask.
Barcode Prefix Add a value if a prefix should be placed in front of each barcode by default.
Barcode Postfix Add a value if a postfix should be placed at the end of each barcode by default.

The setup around barcodes must be looked at separately. The character length of the barcode is taken into account in the doc.box setup. If a length has been stored, this length must be applied to the number series for the barcodes. Files can then be imported into the system via the batch import interface. Automatically, the expected documents connect to the imported documents. For this process, the file name must be structured according to the following scheme: Barcode Prefix + Barcode + Barcode Postfix

The system extracts the barcode based on the setup and if there is an expected document with the same barcode, the document is filed with it.

Fax/Mail FastTab

Field Description
Enable Fax Activate the fax functionality of the doc.box.
Fax Adress Define the sender's fax address.
Fax Subject Specify the subject with which a fax is to be sent.
Submit or Print Give the user the additional option to submit or print the document.

Mail Logging FastTab

With the Mail Logging setup you can archive documents by connecting an E-Mail account to it.

Field Description
Mail Logging Enable the mail archiving functionality.
Mail Logging Type Choose the drop-down arrow and select the desired type. The options are: CC, BC.
Shared Mailbox Email Specifies the email address of the shared mailbox in Exchange Online that was created for email logging. The shared mailbox must be in the same tenant as Business Central.
Client ID Specifies the ID of the Azure Active Directory application that will be used to connect to Exchange Online.
Client Secret Specifies the Azure Active Directory application secret that will be used to connect to Exchange Online.
Redirect URL Specifies the redirect URL of the Azure Active Directory application that will be used to connect to Exchange Online.
Email Batch Size Specifies the number of email messages that the job queue entry for email logging will get from Exchange Online in one run.
Enable Log Specifies if the Mail Logging should be logged.

Statistics FastTab

On the Statistics FastTab, you have an overview of the archived documents. The following information is shown:

  • Number of documents
  • Number of expected documents
  • Number of internal documents
Note

Select the number in one of the fields to open the doc.box Documents page and get a list of the corresponding documents. Additional filters can be applied.

Approval - doc.box Preview Setup FastTab

On the Approval - doc.box Preview Setup FastTab, enter departments and classes, which should be used throughout the approval process. The following fields are available:

  • doc.box Preview Department Purchase
  • doc.box Preview Department Purchase Posted
  • doc.box Preview Class Purchase
  • doc.box Preview Class Purchase Posted

Default Recipient Group Assignment FastTab

On the Default Recipient Group Assignment FastTab, enter default recipient groups for sales and purchases. Additionally, select mail and/or fax options.
