Recipient Groups
Recipient groups can be used to provide documents with an additional dialog for printing and e-mailing and to automatically suggest recipients. In the recipient groups, contacts are assigned to the respective customers and vendors. In addition to contacts, users can also be stored.
Note
It is a requirement for the use of contacts and users that they have a valid e-mail address.
Create a new recipient group
- Choose the
icon, enter doc.box Setup, and then choose the related link. - On the doc.box Setup page, on the Default Recipient Group Assignment FastTab, in the Default Customer Recipient Group Code field, use the drop-down arrow and choose the Select from full list action.
- On the Select - doc.box Recipient Groups page, choose the New action to create a new recipient group.
- In the Code field, add the code for the recipient group.
- In the Description field, enter a description for the recipient group.
- Leave the page, selecting the Cancel button.
Recipient group assignment by default
It is possible to assign default recipient groups and mail/fax options for customers and vendors.
- Choose the
icon, enter doc.box Setup, and then choose the related link. - On the Default Recipient Group Assignment FastTab, the following fields for creating default values are available:
- Default Customer Recipient Group Code
- Default Customer Company Mail Option
- Default Customer Person Mail Option
- Default Customer User Mail Option
- Default Customer Company Fax Option
- Default Customer Person Fax Option
- Default Customer User Fax Option
- Default Vendor Recipient Group Code
- Default Vendor Company Mail Option
- Default Vendor Person Mail Option
- Default Vendor User Mail Option
- Default Vendor Company Fax Option
- Default Vendor Person Fax Option
- Default Vendor User Fax Option
Manual recipient group assignment
- Choose the
icon, enter Customers, and then choose the related link. - On the Customers page, choose the appropriate customer and select the Edit action.
- On the Customer Card, choose the Assign Recipient Group action.
- On the doc.box Recipient Group Assignment page, in the Recipient Group Code field, use the drop-down arrow to select a recipient group code.
- In the Type field, use the drop-down arrow to choose the assignment type. The options are: Contact, User.
- In the No., use the drop-down arrow to select a contact or user, depending on your choice in the Type field.
- In the Mail field, use the drop-down arrow to define if this contact or user should be used for e-mailing. The options are: BLANK, Yes, Yes no Selection
- In the Fax field, use the drop-down arrow to define if this contact or user should be used for faxing. The options are: BLANK, Yes, Yes no Selection
Automatic recipient group assignment
Choose the
icon, enter doc.box Automatic Recipient Group Assignment, and then choose the related link.On the doc.box Automatic Recipient Group Assignment page, on the Recipient Group Assignment create for FastTab, select the Customer and/or the Vendor field.
Depending on your choice, different setup options for customer and/or vendor will be displayed.

- Company Mail
- Company Fax
- Person Mail
- Person Fax
- User Mail
- User Fax
Select the OK button to start the automatic recipient group assignment.
