Initial Setup

The basic setup of the customer portal is performed in Business Central itself. Fundamental settings are handled by us and coordinated with you.

Note

For connecting doc.box documents, setting up an Azure Blob Storage is recommended.

Creating Customers

To create portal access for your customers, the Salutation Codes and Email Addresses must be filled in on the customer and contact cards. Via ActionCreate Portal User, you create an admin user for the portal. The login credentials will then appear on screen for you to pass on to your customer.

Important

Make a note of these credentials so they are not lost. The credentials are only displayed once.

Once these steps are completed, the basic structure is in place and your customer can sign in to the portal.

Additional Settings

The following additional settings are available in the Packaging Portal Setup:

Field Description
Base URL The URL of the portal.
API Key The provided security key for the connection.
Send Quote in Background Determines whether sales quotes are transferred to the portal directly or via the job queue.
Allow Quotes Without Account Allows quotes to be provided to customers without their own portal access.
Project Expiration Period Defines the period after which a completed project is automatically removed from the portal (e.g. 4W for four weeks).
Auto-Sync Documents to Portal Determines whether documents are synchronised automatically. If deactivated, sharing must be done manually per document.

Customising Email Subjects

In the Email section, the subjects for the welcome email and quote notification can be customised. Via the actions Quote Subject Translations and Welcome Subject Translations, language-specific translations can be maintained.

Tip

The quote email subject supports the placeholders %1 (quote number) and %2 (document date).

Automating Synchronisation

Synchronisation can be automated via the job queue:

  1. Open the Packaging Portal Setup.
  2. In the Job Queue section, select the action Create Job Queue Entry.
  3. Configure the desired interval.
  4. Set the status to Ready.

Manual Synchronisation

Action Description
Start Synchronisation Performs an incremental synchronisation — only changed data is transferred.
Start Full Synchronisation Resets the synchronisation status and transfers all data again.

Checking Synchronisation Status and Errors

Action Description
Synchronisation Status Shows the current synchronisation state per table.
View Error Log Shows all errors that have occurred.
View Portal Actions Shows all portal actions (e.g. quote acceptances, packing good blocks).
