Configure and Request Custom Packaging

If you need a tailored packaging solution, your customers can use the portal configurator to customise approved items according to their requirements and submit a quote request. The request is automatically processed into a sales quote in Business Central.

This function requires the Packaging Portal Configurator feature to be enabled.

Prerequisites in Business Central

Portal Item Assignment

In the Portal Item Assignment table, you must define in advance which items should be available for the configurator in the portal.

Field Description
Customer No. Can be filled in but is not required.
Item No. The configurable items.
Default Parameter Set ID A default parameter set can be defined via Start Configurator. If not all properties are released for the portal, this controls the default values for the remaining properties. If left empty, the default value from the Unit Calculation Template is used.
Calculation Template Code Enables a portal-specific price calculation. If no template is specified here, the default template applies.

Releasing Properties

In the Properties table within a Unit Calculation Template, the column Display in Portal must be used to specify which properties can be configured in the portal.

Creating Translations

Translations can be created for Property Categories and Properties so that multilingual customers are also supported.

Setting Up a Workflow

A Workflow must be set up so that the responsible IDM (internal sales representative) is notified about new quote requests and the further processing is defined.

Creating a Quote Request

  1. Open the Quote Requests section in the portal.
  2. Select New Request.
  3. Add one or more positions. For each position, an approved item from the item assignment can be selected.
  4. For each item, the configurator opens. Available properties are displayed grouped by priority and category:
    • Fixed Properties — Base properties such as length, width, and height (defined by the layout).
    • Highlighted Properties — Properties marked as important.
    • Categorised Properties — Additional properties grouped by category.
  5. Adjust the properties according to your requirements. Depending on the data type, free-text fields, number fields with min/max limits, or selection fields are available.
  6. Optionally enter a Comment or a Reference Quote Number.
  7. Select Save to save the request as a draft — or Send Request to submit it.

Quote Request Status

Status Meaning
Draft The request is being edited and can still be changed or deleted.
Requested The request has been submitted. It is being processed in Business Central.
Quote Created A sales quote has been created based on the request.

Processing in Business Central

After submission, a portal action is automatically created in Business Central. The responsible employee is notified via the configured workflow and can create a sales quote based on the request. The best-matching default parameter set is used — if there are multiple matching lines, the one with the correct customer number is prioritised. The IDM (internal sales representative) only needs to review the variant and prices and adjust them if necessary. The configuration is then released for the portal at the click of a button.
