Information Gathering Setup
This guide walks through the initial setup required to configure the Information Gathering (Checklist) functionality in the EUDR Management app.
Prerequisites
Before setting up Information Gathering, ensure that:
- The EUDR Management app is installed and configured
- Basic EUDR setup is completed
- Countries/Regions are set up for your business operations
Setup Steps
Step 1: Create Checklist Categories
Categories help organize checklist items into logical groups.
- Search for EUDR Checklist Categories and open the page
- Create needed categories
Here are some examples:
| Code | Description |
|---|---|
| HARVESTING | Harvesting Activities |
| PROCESSING | Processing and Trade |
| LEGAL | Legal Documentation |
| ENVIRONMENTAL | Environmental Compliance |
| SOCIAL | Social Responsibility |
To create each category:
- Choose New to create a new line
- Enter the Code (e.g., "HARVESTING")
- Enter the Description (e.g., "Harvesting Activities")
Step 2: Create Checklist Templates
Templates define the standard requirements for different countries or scenarios.
Create Country-Specific Templates
For each major supplier country, create a dedicated template:
- Search for EUDR Checklist Templates and open the page
- Choose New to create a template
- Enter Code (e.g., "CAMEROON")
- Enter Description (e.g., "Cameroon Key Documents")
- Choose Template Lines int the top menu to add specific requirements
Adding Template Lines
For each checklist item:
- Enter a clear Description of the requirement
- Select the appropriate Action type
- Specify the Category Code which you created before
- Add Additional Information to provide context
- Specify the Legal Authority if applicable
- Mark as Non Blocking if the checklist item is optional
Step 3: Configure Country Assignments
Link checklist templates to specific countries for automatic assignment:
- Search for Countries/Regions and open the page
- Select the relevant country (e.g., Cameroon)
- Set the EUDR Checklist Template field to the appropriate template
- Repeat for all relevant countries
Step 4: Set Up Vendor Checklists
Configure vendors to use appropriate checklist templates:
Automatic Assignment
- Vendors will automatically inherit checklist templates based on their country/region code
- This happens when a vendor's country is set or changed
Manual Override
- Open the Vendor card
- In the Receiving FastTab, set the EUDR Checklist Template field to override automatic assignment
Note
This is useful for vendors requiring specific compliance procedures
Next Steps
After completing the basic setup:
- Review the Checklist Management documentation
- Learn about Checklist Templates in detail
- Train users on the checklist workflow
- Begin implementing checklists in your due diligence processes
Important
Regularly review regulatory requirements to ensure templates remain current and comprehensive.
